Searching for a Group

This option allows users to view bookings that include guests, rooms, services, and costs incurred during the stay.

Perform the following steps to search for a group:

Navigate to Reservations ➜ Search ➜ Groups. The Groups tab is displayed.

To search the group, enter the group's name in the Search field, and click Go. Based on the entered details, the search results are displayed.

Refer to the following table and fill in the fields to search for a group:

Description

Inquiry

Select the checkbox if the inquiry has no impact on inventory. The user would not create a room block in this phase

Prospect

Select the checkbox if the prospect has no impact on inventory. A room block can be created, but the rooms are not held

Tentative

Select the checkbox to put a block on inventory, but reservations cannot be made

Definite

Select the checkbox to put a block on inventory, and reservations can be made

Cancelled

Select the checkbox if the customer had cancelled the booking, so the inventory opens

Turndown

Select the checkbox if the property had declined the business, so there is no impact on inventory

Tours

The records that exactly match the entered group name are displayed first, followed by the records that match partially, and the results of fuzzy search.

Order of display:

  • Tours (exact match)

  • Tours and Travels (partial match)

  • T…. (fuzzy search retrieves records where at least one character in the record matches the entered name)

Search using group code

TR1GF

The records that exactly match the entered group code are displayed first, followed by the records that match partially, and the results of fuzzy search.

Order of display:

  • TR1GF (exact match)

  • TR1UI (partial match)

  • TR…. (fuzzy search retrieves records where at least one character in the record matches the entered name)
